Instructions for Porvoo event calendar and criteria for publication of event announcements

Event calendar will be renewed in February

The instructions on this page are valid for the new event platform which will be taken in use during February 2026. Event organisers can register and add events to the new system starting on 9 February. The new event calendar will be open to the public on Monday, 23 February.

Get started with announcing events in the Porvoo event calendar

1. Create an account

  • Go to event manager
  • Select ‘Create Account’
  • Enter your email and create a password

2. Confirm your email

  • Enter the confirmation code which is sent to your email.

3. Create your profile

  • Name, last name, email address and phone number are mandatory information. Porvoo Info may be in contact with you if they need additional information related to publishing your event announcement.
  • Please also fill in the ‘Company’ field and let us know, which association, company or organisation you represent. This information will help us moderate events and understand which groups use the event calendar.
  • You can leave the rest unfilled.
  • You can read the privacy policy. Accept the use of data in order to proceed.

4. You can find instructions in the Resources section

  • Open the menu at top right, by clicking your name.
  • Select ‘Resources’ to find the user manual (Handbook).
  • Instructions are available in English and Swedish.
  • If you cannot find the support you need in the instructions, please contact Porvoo Info.

Tips for creating a good event announcement

Be careful with the spelling of the event location and organiser

Always write the event location and organiser in the same way. If written differently, they will appear as different locations and organisers on the list.

Use the organiser’s contact information sparingly

  • You are able to enter a lot of different contact information in the organiser details: phone number, email address, website, and several social media channels. These are not mandatory.
  • However, it is recommended to only enter contact information that is relevant to the event or helpful to visitors of the event page.
  • A long list of links adds complexity and makes it more difficult for users to distinguish the essential information about the event.

Criteria for publication of event announcements

The Vitality Committee has approved the following criteria for publication of events:

Events and event announcements, which meet the following criteria, may be published in the City of Porvoo’s event calendar.

  • Events that are organised in Porvoo or the partner municipalities may be published in the City of Porvoo’s event calendar. The events may be on-off events or recurring events.
  • Events in the partner municipalities may be published in the Porvoo event calendar based on a separate agreement.
  • Events or content that are in conflict with Finnish law, Porvoo City Strategy or well-being plan or contrary to good practice are not published in the Porvoo event calendar.
  • Events or content that discriminate against any group or groups of people are not published in the event calendar.
  • Private events are not published in the calendar.
  • Sales and marketing events or offers from individual operators are not published to the event calendar unless there is other programme included in them. An advertisement for a company’s products or services is not considered as an event. This applies to, for example:
    • Frequently organised lunches (excluding special themed lunches such as for Mother’s Day, Easter or wine tasting menus, which involve a programme and are one-off offers).
    • Product presentation events.
    • Online store campaigns.
  • Instead, sales events involving multiple operators and one-off campaigns can be added to the calendar of events. These include for example:
    • Markets, fairs, and shopping centres’ campaign days.
    • Mother’s and Father’s Day lunches or other public holidays involving a special programme.
    • Wine tasting evenings with a lecture or other similar part included in the programme.
    • Opening of a restaurant.
    • Sports events.
    • Thematic events of the city, such as Experience Runeberg, Pride, May Day, Midsummer and Christmas.
  • The event must be announced using an electronic form. If additional information or material is requested from the declarer, these must be submitted before the announcement may be published.

The City of Porvoo reserves the right to modify, remove or not publish announcements that are in contradiction with the Terms of Use or otherwise incomplete.
